The Nelson Educare Portal is a comprehensive education management platform designed for administrators, teachers, parents and students. The system streamlines the entire UK student lifecycle, from the initial enquiry and childcare grant application to digital admissions and lesson scheduling. By centralising communications, document handling and learning access, the portal provides a unified and efficient educational environment.
Managing student admissions, childcare grants, and scheduling across separate systems historically created significant administrative overhead and data security risks. The platform needed to securely process sensitive documents and digital signatures whilst automatically provisioning student access to Microsoft Teams and a Moodle learning management system. Harmonising these disparate systems into a unified, secure database and web application whilst maintaining strict role-based access controls was the core engineering challenge.
MernLabs engineered a secure, role-based portal using a React and TypeScript frontend paired with a Node.js Express backend and MongoDB database. To eliminate manual administrative workflows, we integrated the Microsoft Graph API to automatically provision student Microsoft 365 accounts and assign licences upon enrolment approval. The platform connects directly with the Moodle LMS API, instantly enrolling students into their corresponding academic programmes to ensure immediate access to learning materials. Finally, we developed a custom document generation service that compiles signed admissions and grant applications into standard digital documents on-demand, ensuring compliance and easy record-keeping.

An integrated system for processing Childcare Grant and Dependant's Grant applications, capturing parent signature data digitally, tracking status transitions, and automatically updating parent CRM entries.

Automated Student Provisioning
Automatically generates Microsoft Teams accounts and assigns M365 Business Basic licences upon student enrolment, whilst creating user accounts and synchronising course enrolments in the Moodle LMS.

Intelligent Class Scheduling
Assists administrators by automatically generating draft class timetables based on teacher availability and parent-selected time slots, reducing scheduling conflicts and administrative overhead.
